We collect information you choose to send us through website forms, such as your name, contact details, enquiry details, volunteer availability, job application details, stall application details, and any optional images or logos supplied for event listings.

Some forms may ask for extra details needed for a specific purpose, such as emergency contact information, date of birth for under-18 volunteers, or relevant health or accessibility information for volunteer safety.

We use this information to:

• respond to enquiries;
• manage volunteer and job applications;
• manage event and stall applications;
• send internal notifications to the right team;
• keep records needed to run the shop and its activities.

We do not sell personal information. We use it only for shop, committee, recruitment, volunteer, event, and community administration.

Information may be seen by relevant committee members, volunteers, managers, or event organisers who need it to respond or administer the activity.

We use trusted services to run the website and forms, including website hosting, email delivery, Google Forms, Google Sheets, Google Apps Script, and WhatsApp Business Platform alerts. These services process information for us so we can receive, store, and act on submissions.

We keep information only for as long as we reasonably need it for the purpose it was provided. Enquiries are kept while we deal with them. Applications and event records may be kept for the relevant recruitment, volunteering, event, or administration period, then reviewed and deleted when no longer needed.

You can ask us to access, correct, or delete personal information we hold about you. You can also object to how we use it or ask us to restrict processing in some circumstances.

We do not currently use advertising or analytics cookies. Like most websites, our hosting provider may keep basic technical logs, such as IP address, browser information, and request time, to keep the website secure and working properly.
